As part of our services, we may collect the following data:

  • Identification data: name, surname, professional email address, phone number, company name and role
  • Communication data: messages sent through our forms, exchange history
  • AI service data: content and instructions transmitted to the AI co-worker as part of your use of the service

Purposes and Legal Basis

Your data is processed for the following purposes:

  • Contract performance: providing our AI co-worker services, customer support, account management
  • Legitimate interest: improving our services, internal analytics, system security
  • Consent: sending commercial communications
  • Legal obligation: billing, accounting, responding to competent authorities

Prospect data is retained for 3 years after the last contact. Client data is retained for 10 years after the end of the contractual relationship (legal obligation).

AI Usage and Client Responsibility

Our AI co-workers are extremely powerful and versatile tools. They can access the services and platforms you choose to connect them to, execute complex tasks, and interact with third-party systems on your behalf.

This power implies shared responsibility.

Rapidos.ai makes every effort to design, configure, and monitor AI co-workers with the utmost care. However, given the breadth of possibilities offered by these technologies, it is impossible for us to guarantee complete protection against every conceivable usage scenario.

Consequently, it is the client's responsibility to:

  • Control access granted: only connect services and data to the AI co-worker for which you accept the associated risks
  • Assess data sensitivity: do not expose critical or highly confidential data without adequate protective measures on your side
  • Supervise automated actions: regularly verify actions performed by the co-worker and report any unexpected behavior
  • Comply with applicable regulations: ensure that use of the AI co-worker complies with laws and regulations in your industry

Rapidos.ai disclaims any liability for damage resulting from inappropriate access granted by the client to the AI co-worker, or from use contrary to the recommendations provided.

Nature of Rapidos service: Rapidos is the installer and integrator of an open-source tool (OpenClaw) with a simplification layer on top. Rapidos is not responsible for data transiting through third-party servers used by the AI co-worker. The default AI model installed is Claude (Anthropic), recognized as the most performant. This means communications pass through third-party servers over which Rapidos has no control. We can help set up local solutions for better data control, but these solutions are not yet competitive compared to cloud models in terms of performance.

Pricing Changes and AI Providers

Our AI co-workers rely on technologies provided by third-party vendors (notably Anthropic, OpenAI, and other artificial intelligence providers). The pricing of these services may change independently of our control.

In the event of significant changes to the pricing or licensing terms of these providers, Rapidos.ai may need to adjust the monthly subscription fee to maintain service quality.

In such a situation, we commit to:

  • Informing you in advance of any pricing change with reasonable notice
  • Presenting available options and discussing the best solution adapted to your needs
  • Remaining transparent about the reasons for the adjustment
  • Allowing you to cancel if the new terms do not suit you, without penalty

Our goal is to build a long-term relationship based on trust and transparency, not to impose increases without dialogue.

Data Security

We implement appropriate technical and organizational measures to protect your data against unauthorized access, loss, accidental destruction, or unlawful disclosure.

These measures include:

  • Encryption of data in transit and at rest
  • Strong authentication and access management
  • Regular backups
  • Continuous monitoring of our infrastructure
  • Training our teams in security best practices

International Transfers

Some of our technical providers and AI vendors may be located outside the European Union (particularly in the United States).

In these cases, we ensure that adequate safeguards are in place in compliance with the GDPR (standard contractual clauses, adequacy decisions, or any other recognized mechanism).
